Techolony Privacy Notice
Last updated: 18 October 2026
1. Who we are
This notice covers techolony.co.uk, Techolony Bench (bench.techolony.co.uk) and our consultancy and recruitment services. They are run by Techolony Limited, a company registered in England and Wales (company number 08442383), registered office c/o Bruce Allen LLP, Ground Floor Suite, Crown House, 40 North Street, Hornchurch, RM11 1EW. We are the data controller for the personal information described in this notice. We are registered with the Information Commissioner's Office (ICO) under registration number ZA259247.
For any privacy question or request, email [email protected] or write to us at the address above, marked for the attention of the Data Protection Lead. We don't have a statutory Data Protection Officer, because we aren't required to appoint one.
2. Who this notice covers
This notice explains how we handle personal information about:
- Clients and enquirers: people at organisations who use our consultancy, recruitment or Bench services, book a call, send an enquiry, request a quote, or subscribe to our newsletter.
- Consultants and candidates: independent professionals and associates we work with or put forward for work, people who register on the Bench, and people whose CV we hold and whom we contact about opportunities.
- Business contacts: people we contact about our services in a business capacity.
- Website visitors to techolony.co.uk and bench.techolony.co.uk.
3. Information we collect
| Who | What we collect | Where it comes from |
|---|---|---|
| Clients and enquirers | Name, work email, phone, company, job title, enquiry and quote details, newsletter preferences, call bookings, contracts and invoices. On the Bench also: sign-in records, searches, shortlists, reservations, enquiries, profile unlocks, messages, weekly reports and approvals | You, and your use of our websites and services |
| Consultants and candidates | CV and the details in it (work history, qualifications, certifications, any security clearance level you list), contact details, location, availability, rates, discipline, willingness to travel, limited company details, insurance details and expiry, right-to-work and identity checks where required, verification results, references, engagement records and weekly reports | You; our existing records if you have worked with or applied to Techolony; CVs you have made available on job boards such as CV-Library; referees; Companies House |
| Business contacts | Name, business email, job title, company, public professional profile | Business data providers such as Apollo.io, and public sources |
| Website visitors | IP address, device and browser details, pages visited, cookie data | Your browser |
If we created your Bench profile, or contact you about work, from a CV we already held, we will tell you within one month and before we show it to any client. You can ask us to delete it at any time.
We don't ask for special category information (such as health, ethnicity, religion or sexual orientation) or criminal records. Please leave these out of your CV. If they appear, we won't use them.
4. How we use it and our lawful basis
We never sell personal information.
| What we do | Lawful basis |
|---|---|
| Answer enquiries, prepare quotes and book calls | Steps you ask us to take before a contract; legitimate interests |
| Deliver consultancy projects and Structured Delivery: milestones, deliverables, weekly reports, quality checks | Contract |
| Find work for consultants and put them forward to clients, with their agreement | Contract or steps before one; legitimate interests |
| Create and run Bench accounts, send sign-in links and service emails | Contract, or steps you ask us to take before one |
| Show consultant profiles to Bench clients (names and CVs only once a client enquires or unlocks a profile; CVs are view-only) | Contract with registered consultants; legitimate interests for profiles we invite |
| Contact consultants whose CV we already hold about work, and invite them to the Bench | Legitimate interests: matching available professionals with work |
| Check limited companies against Companies House, confirm insurance, and carry out right-to-work and identity checks | Legal obligation (checks we must make before introducing people to clients); legitimate interests |
| Send our newsletter | Consent, which you can withdraw at any time |
| Send business contacts information about our services | Legitimate interests. We email business addresses only, and every email lets you opt out |
| Keep financial, contract and engagement records | Legal obligation |
| Keep our sites secure, prevent misuse, and improve our services | Legitimate interests |
Where we rely on legitimate interests, we have weighed our interests against yours. You can ask us for details and object at any time (section 8).
5. Techolony Bench: verification and automated decisions
Our team approves each consultant profile before clients can see it. We also run automatic checks, and mark a profile Verified when all three pass:
- The limited company is active and matches the Companies House record.
- The profile is complete.
- Availability has been confirmed in the last 30 days.
Where we require Verified status, a profile that fails or lapses a check is hidden from clients automatically until it is fixed. Because this affects your access to work, you have the right to be told about it, to tell us your side, to ask a person at Techolony to review the decision, and to challenge it. Email [email protected] and we will review it.
When you upload a CV, we pre-fill your profile from it using an automated text-extraction tool (not AI). You check and edit everything before it goes live. Search results are ranked automatically, but no other decision with a significant effect on you is made without a person.
6. Who we share it with
- Clients we put consultants forward to, and Bench clients, who see consultant profiles as described in section 4.
- Consultants see the client's company name and project details once they are engaged.
- Service providers who process data for us under contract: SiteGround (website hosting), Microsoft 365 (email and documents), HubSpot (call booking), Apollo.io (business contact data and email outreach), Google (website analytics via Google Tag Manager).
- Companies House, when we run the company check, and referees you name.
- Professional advisers, insurers, and authorities such as HMRC or the police, where the law requires it or to protect our legal rights.
- A buyer or successor, if Techolony's business is sold or restructured.
International transfers. Some providers (for example Apollo.io and Google) process data in the United States. We only use providers covered by UK adequacy regulations, including the UK Extension to the EU-US Data Privacy Framework, or by the ICO's International Data Transfer Agreement or Addendum. Ask us for details.
7. How long we keep it
| Information | How long |
|---|---|
| Enquiries and quotes that don't lead to work | 24 months after last contact |
| Newsletter subscriptions | Until you unsubscribe |
| Client accounts and Bench activity | While the account is active, then deleted or anonymised 24 months after the last sign-in |
| Consultant and candidate records, profiles and CVs | While active; deleted 36 months after last contact or activity, or sooner if you ask |
| Bench profiles created from CVs we held, where the consultant never responds | Deleted after 12 months |
| Engagement, contract, report and invoice records | 6 years after the engagement ends |
| Business contact data | Until you opt out, or 24 months without engagement. After an opt-out we keep only your email address, so we don't contact you again |
| Website logs | Up to 12 months |
8. Your rights
You can ask us to:
- give you a copy of your information;
- correct it;
- delete it;
- restrict how we use it;
- stop using it where we rely on legitimate interests, and always stop marketing to you;
- send it to you or another organisation in a portable format;
- review an automated decision (section 5).
Email [email protected]. It's free, and we reply within one month. Complex requests can take up to two months more, and we'll tell you if so.
9. Complaints
Please raise any concern with us first at [email protected]. We acknowledge complaints within 30 days and investigate without undue delay. If you're still unhappy, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
10. Cookies
We use essential cookies to keep you signed in and protect our sites. On techolony.co.uk we also use analytics cookies through Google Tag Manager, which we only set with your consent. You can change your choice at any time through the cookie settings on the site.
11. Changes to this notice
We update this notice when the Bench or the law changes, and change the date at the top. If a change materially affects registered users, we'll email you first.
